1. Tidy Up LibAnswers by Merging Tickets

Are your LibAnswers tickets getting out of control? Make your life – and your LibAnswers – more organized by merging one ticket into another! Merging tickets allows you to consolidate related questions into a single ticket. There are a couple of common scenarios where you may want to merge two or more tickets together.

Someone replied to a ticket, but their reply generated a new ticket.

Normally, when a patron replies to a ticket, the new reply is added to that ticket's thread. However, if the patron's email client does not provide all of the necessary info in the email's header, LibAnswers might not be able to identify which ticket it belongs to. As a result, a new ticket is created. Instead of replying to this new ticket, you can merge it into the original. This can help you maintain the continuity of your conversation with the patron, making it easier to review the ticket's thread from start to finish.

Someone sent in multiple tickets related to the same question or topic.

You may find situations where a patron has submitted multiple new tickets, but they all end up relating to the same question or topic. Or maybe they sent in a brand new ticket with more information about an earlier question rather than replying to the original ticket. Instead of replying to the new ticket, you can merge them all into a single ticket. This will help you consolidate the patron's correspondence into a single place, making it easier to keep track of the conversation.

2. Scrub Private Data from LibWizard

Privacy scrubbing in LibWizard allows you to designate form, survey, quiz, and tutorial fields to be automatically cleared on a rolling basis. This can help ensure that you don't retain personally identifiable information longer than you absolutely need to.

While LibWizard's IP data collection is turned OFF by default, this wasn’t always the case. LibWizard’s IP data collection used to be turned ON by default, until we received some much-appreciated feedback (shoutout to the ALA Privacy Subcommittee!). Although IP data collection is set to OFF for all new LibWizard items, your old items are still set to ON by default. So tidy up your old LibWizard content by turning OFF IP data collection!

  • The privacy scrubber is an automated process that runs daily. Once activated for your system, data older than a certain number of months will be cleared from the designated fields.
  • Set Up Privacy Scrubbing: Privacy scrubbing can be set up by request by visiting Admin > System Settings > Privacy Data Scrub. If you've not yet requested privacy scrubbing to be set up, you'll see a message containing instructions. Click on the Springshare Privacy Scrub Request link to get started.
  • View Your Privacy Scrub Settings: Once Springshare has received your request and set up privacy scrubbing per your preferences, the Admin > System Settings > Privacy Data Scrub tab will reflect the current settings you have in place.

 Scrubbed data is permanently deleted.

As a result, please take care in choosing which fields you want to scrub, as the data cannot be restored once it's been deleted. We strongly encourage you to let your colleagues know that this is being activated, what fields will be affected, and how much data you will be retaining.

3. Spruce Up LibStaffer with Find & Replace

Did you know that you can reassign recurring LibStaffer shifts in bulk with the Find & Replace tool? This allows you to quickly change the assignments for your recurring shifts without the need to change them one at a time. Shifts can be reassigned to another designated user or simply dropped to unassign the original user and leave the shifts as open. Talk about a speedy spruce!

  1. Click on the recurring shift that you want to make changes to. 
  2. On the shift's modal, click on the Find & Replace button. 
  3. In the Find & Replace window, select the assigned staff member that you will be replacing from the Replace dropdown.
  4. From the With dropdown, choose the staff member to assign to the shift.
  5. Choose the range of the replacement—all future occurrences or until a certain date—from the Date Range field. 
  6. Click the Find & Replace button to complete the reassignment.

4. Refresh Your LibInsight Dashboard Color Palette

Give your LibInsight Dashboard a refresh by customizing your charts to match your organization’s branding. The Chart Color Palette can be used to specify any number of colors to be used when generating charts in Analysis, Cross Dataset analysis, and Dashboards. While those no limit to the amount of colors you can specify, most charts tend to use four or fewer colors. If a chart requires more colors than you’ve specified, random colors will be chosen. 

To set the Color Palette in LibInsight:

  1. Go to Admin > System Settings.
  2. Click on the Look & Feel tab.
  3. In the Chart Color Palette section you can:
    1. Click the Add Color button to add a new color.
    2. Set the color using the color picker or by adding the hex code for the color.
    3. Re-order the colors that have been added by dragging the arrow before the color up or down the list.
    4. Delete a color by clicking the Delete (X) icon.
    5. Check the Randomize checkbox to allow any colors to be used randomly in charts.
      • If this option is not used, the colors will be used in the order they are listed.
  4. Click the Save All System Settings button at the bottom of the page.
